Quick User Guide

Quick User Guide

1. Sign Up / Register

To check a document for plagiarism you have to register with PlagScan. As a single user you will receive test credit which can be activated by clicking on a link we send to you per email. If you have forgotten your password, you can request a new one after entering your email address.

 

2. Upload a Document

Click on Upload Documents to select your files. To upload several documents at once, select them while pressing and holding CTRL or select all documents in a folder by pressing CTRL+A.

 

3. Check

Once you have uploaded your selected documents, you can start the plagiarism scan. Just click on Start check next to every document.

If you want to check multiple documents at once, check the box before each document and then click Check.


4. View Report

Receive the results of the plagiarism scan for the documents being checked. Time may vary for the analysis of text, depending on the size of the document. Usually this takes just a few minutes and larger documents are completed the following day at the latest.

If you want to view your results within the original document (doc/docx), click on Word document (docx) with highlighted text on the menu of the online report. This is just one of four types of reports which you can get with our plagiarism scan.

 

You'll find useful additional features like email notifications, automatically scheduled checks and labels for easily organizing larger archives in our settings.

Register and Login

Register and Login

Here are some instructions on how you can register and login. Please note that the registration process is different for single users and organizations.

  1. Go to Registration for Single users.
  2. Enter your email address and a password.
  3. Confirm your registration by clicking the Sign up button.

Registration with existing accounts

Alternatively, you can also register with your Google, Yahoo, Microsoft or Facebook account.

  1. Choose your provider’s symbol.
  2. Log in with your account information. You will be redirected to PlagScan’s website and are automatically logged in.

Please remember to access your PlagScan account with your provider’s account in the future. 

Exclusively for organizations

To register your organization (school, university, company) at PlagScan, follow the steps below:

  1. Go to Registration for Organizations.
  2. Enter your organization name and select the type of your organization.
  3. Enter your name, email address, and password.
  4. Confirm your registration by clicking the Continue button.

Activation of your test credit

As a new user, you receive a free test credit, which is equivalent to 2000 words. Follow the steps below to receive your credit:

  1. Check your inbox: After your registration, you will receive a welcome email from us.
  2. Open the email: You will find a link to activate your free test credit.
  3. After clicking the link, you will receive your free test credit

 Make sure to check your spam folder if you can’t find an email from us.

Exclusively for organizations

To find out whether PlagScan fits your requirements, we invite you to try the service for free. Just contact us at pro@plagscan.com and upon verification of your credentials, we will happily grant you extensive test credit.

For online product presentations also feel free to email pro@plagscan.com.

Login

The login process is the same for both single users and organizations. Here is how you can login:

Your upload options

Upload a document

You have three options to upload text to PlagScan: You can upload a file, paste text or use web import. The maximum upload size is 100 MB per upload.

To upload your document, click on documents in the top right menu bar.

Here you will find the accepted text formats.

1. File Upload

  1. Click on File upload.
  2. Select the file you wish to upload from your computer.
  3. Confirm by clicking open.

Drag and Drop

You can drag your document from your desktop to the document area of your PlagScan interface. 

  1. Click on your document and drag it into the designated field of your PlagScan interface by holding the left cursor key. 
  2. Drop the document into the area by letting go of the cursor. 
  3. Your document will be uploaded automatically.

If you mark multiple documents, you will be able to drop all of them into the interface. 

2. Text Input

  1. Copy the text you want to analyze (CTRL + C).
  2. Click Text input.
  3. Enter a name for your document.
  4. Paste the text  (CTRL + V).
  5. Confirm by clicking submit.

3. Web Import

Import text from a webpage or a cloud service like Google Drive, One Drive, or Dropbox.

  1. Click on Web import.
  2. Enter the web address of your text into the bar.
  3. Start uploading the text by clicking Add.

Begin Plagiarism Check

After you’ve uploaded your document with one of the options above, you can begin the plagiarism check.

Click Start Analysis in the same row in which your document is placed.

The duration of uploading the file depends on the file size and internet speed of your network. 

You can turn off your computer after beginning the analysis. The plagiarism check continues and you will receive an email as soon as the analysis is completed.

You have received a link or a code for your submission. Follow either the link or enter the code at your organization submission portal.

  1. Enter your first and your last name as well as the title of your document.

The Plagiarism Report - A Quick Overview

Header

Plaglevel: The Plaglevel indicates a percentage of potential plagiarism within your document.

A high Plaglevel doesn’t necessarily reflect plagiarism. Please examine the results and their sources to verify the end results. 

Plagbar: All suspected plagiarism passages are listed here. 

Source List

You can find all sources that have been matched with the potential plagiarized passages. Depending on the report results and settings, you will only see relevant symbols for your particular report.

Detailed information for the different types of sources can be found at The Plagiarism Report - Advanced Options > Origin of Sources

Document Interface 

The analyzed text is the focus of the plagiarism report. The format and all graphics remain unchanged if you use the Word document.

Navigation:
Use the arrow keys in the footer to browse through your document. For bigger documents you can also use the Plagbar to get to suspicious passages.

Zoom:
Increase or reduce the view of your document

Highlighting:
The colored highlights refer to the sources of the source list.

Red: Exact matches with the sources.

Blue: Matches that might have been paraphrased. 

Green: Matches that PlagScan acknowledged as quotes.

Decide, which sources you want your document to be compared with.

Compare with web sources:
Your documents are checked against internet sources.

Check against my documents:
Your documents are checked against your previously uploaded documents.

The following options are only available to organization users.

Check against my documents in the organization repository:
Your documents are checked against your documents stored in the organization repository.

Check against organization repository
Your documents are checked against all documents stored in the organization repository.

Plagiarism Prevention Tool:
Your document will be compared with a specific collection of open sources, published documents and other PlagScan customers’ archives.

Each organization has a repository to store documents. This repository is embedded in the plagiarism prevention pool. If an organization opts for a private repository, it will be excluded from the Plagiarism Prevention Pool.

All data from participants of our Plagiarism Prevention Pool is absolutely secure - nobody has direct access to the full text, which is only available exclusively for the plagiarism check.

If you join our Plagiarism Prevention Pool, other users will not be able to see any of your documents entirely. They will only see the location of the match. If other users want to see the complete document, they need your explicit permission. You can grant permission after the other user contacts you through an anonymous email.

Sensitivity

Choose the intensity of your analysis by selecting one of the following options: 

Low:
PlagScan only runs a rough analysis

Medium:
A well-balanced medium setting (recommended)

High
All matches will be shown.

Bibliography


Decide whether the bibliography should be included in or excluded from the plagiarism check.

Please use the word bibliography in your document, if you want to use this feature. 

Citation detection

Under Citation detection, you can select how PlagScan treats citations within the document. PlagScan can recognize direct quotes if quotation marks are properly used. 

No detection: Quotes will be treated like the rest of the text and therefore marked as potential plagiarism.

Highlighting only: Quotes will be highlighted in a different color and also marked as potential plagiarism. 

Reduce PlagLevel: Quotes will be highlighted in a different color and not be marked as potential plagiarism.

PlagLevel

The PlagLevel indicates a percentage of potential plagiarism within your document.

Yellow PlagLevel: Your document includes a large amount of duplicated content.

Red PlagLevel: Your document includes a suspiciously high amount of similarities and should be examined further. 

Whitelist

Use the Whitelist setting to exclude selected contents from the plagiarism check. Those can be, for example, websites, idioms, phrases or legislative texts. 

Whitelist - URLs: Enter the specific URLs of websites you don’t want to include in the plagiarism check

Whitelist - URLs +: Enter the websites you want to exclude, which will also exclude other websites with the same content. 

Whitelist - Phrases: Enter phrases you want to exclude from the plagiarism check. This also applies to idioms, legislative texts or specific working.

The source list provides you with an overview of all sources matched to potential plagiarism within your text.

You can jump chronologically from one match to the next by using the arrow keys on your keyboard. This way, you can navigate through the report effectively. 

Origin of Sources

You can find the following symbols on top of your source list. Those symbols help you to organize sources according to their origin.

We provide you with some different views of the plagiarism report:

 All Sources: Shows matches from all source.

 Top three: Shows only the sources with the most matches.

 Internet Sources: Shows matches from all online sources.

 Organization Archive: Shows all matches within your organization.*

 Own documents: Shows matches within your own documents.

 Plagiarism Prevention Pool: Shows matches within the Plagiarism Prevention Pool.

*You have to activate this option beforehand (see How to customize Settings for the Plagiarism Check under Data policy)

The  Sign 

The  sign indicates that PlagScan has found clones of a source (with the exact same match). PlagScan groups those clones and hides them initially.
Click the  sign to view the sources.

Highlight matches in source

Click on Highlight match in source in order to highlight the matches in the original document. The highlighted passage will be marked in a different color, which helps you find it quickly. 

Use the  next match button to highlight the next match.

To view exclusive sources, you need the original author’s or publisher’s permission.

Different Views and Formats

PlagScan’s plagiarism report can be viewed in four different formats. You can find those in the right upper corner in the report:

 View as List:

This view contains a complete overview of the matches and sources of the document. 

 Show text-only version (View within text):

A simple format of the report, which works best for slow network connections.

 Download as PDF:

Receive a PDF version of the report, which refers to sources on top of the document.

 Word Document (docx) with annotations:

Download the report as Word document, containing sources on the side of the text via commenting function. 

 

This format is beneficial if you uploaded your document as Word file already. 

 Original Document

Download the original document before being checked for plagiarism.

 Share:

Share your results with your entire organization or with specific colleagues by sending them a link that accesses the report.

As document owner, you can allow the other user to make modifications to a report. By clicking on the Share button, a popup dialog window opens. In that window, you can search by username or email address of the user you want to share your document with.

On the right side of the search box, you will find two icons (select the desired option by clicking on the drop-down).

  • If you want the other user to only view the report, click on the icon in a form of an eye.
  • If you want the other user to edit the report, click on the icon in a form of a pen

Note that the user must be a registered PlagScan member of your organization. 

In the share popup window, you will also find an overview of all users, which currently have a personalized share access to the document, including the mode (view/edit) and the option to delete (x) a share permission. 

Source List

The source list provides you with an overview of all sources matched to potential plagiarism within your text.

Highlights in the Report

PlagScan uses colored highlighting to illustrate potential plagiarism and citations. 

The highlighted passages are listed in cohesion to the Source List. 
For example, if you click on a red passage, you will notice that also the matching source will be highlighted.

There are three different colours for the sources:

Red

Exact matches with the sources.

Blue

Matches that might have been paraphrased. 

Green

Matches that PlagScan acknowledged as quotes. 

Edit Highlighting

Multiple ways enable you to edit highlighting within the report.

Remove Red Highlighting

If you disagree with the suggested red highlights, you can easily remove them:

  1. Select the red text passage. 
  2. Click on Remove marking in the blue top bar.
  3. Confirm your changes by clicking on Save changes.

The match remains listed in the source list but won’t influence the Plaglevel. 

Whether or not text has been plagiarized can only be decided by you or the person who is reviewing the report. PlagScan refers to the similarities between the document and the found sources. In case of doubt, a manual comparison is indispensable.

Define Highlights as Quotes

Follow these steps to identify a properly cited text passage:

  1. Select the passage.
  2. Click on Citation in the blue top bar.
  3. The selected text is now highlighted in green.
  4. Confirm your changes by clicking on Save changes.

Depending on your Settings (under ‘Advanced options' > Citation detection), green passages may not influence your Plaglevel.

How to create your first submission

What is a submission?

If you want third parties (e.g. your students) to submit their documents, you can create a virtual storage. With a submission, others are able to submit documents into your account without having direct access.

Other people can directly submit the documents through the Individual Plagiarism Portal of your organization.

How can I set up my submission?

  1. Login to your user account.
  2. Click on the right upper corner on Documents.
  3. Click on Submissions on the left side menu.
  4. Click on Create new submission.

If you don’t find the option Submissions in Documents -  Projects, contact your administrator. If you are the administrator, you need to create your Individual Plagiarism Portal first. The feature Submissions comes out of the box with the Portal. Read how to set up your own Plagiarism Portal here.

Fill the text fields in the new appearing popup window:

Title:
Enter the title of your submission. It will be used as the headline on the upload page. (e. g. Homework Class 12)
Label:
Create a label to combine documents. This option is useful if you create multiple submissions at a time. Labels can be used to filter your documents later.
Deadline (optional):
You can set a deadline (date, time). If you do, documents can’t be submitted after that deadline anymore. For setting a deadline click on No deadline.
Note to uploader:
Enter instructions or hints to the uploaders if needed.
Share results:
Indicate if the uploader should also see the report. He will get an email with his report after the deadline is due (if set) or after the analysis is finished.
To get their reports, uploaders have to leave their email address when submitting a document.

Show advanced options:

Automatically analyze at deadline:
Starts the analysis of the documents as soon as the deadline has passed.
Send summary email at deadline:
This option notifies you about the deadline for your submission. It includes the paper title as well as the first and last name of each submission.
Allow to update the submission:
Enables the submitter to upload another file, which would replace the first one.
Max. number of total uploads:
Restrict the total number of uploads in your submission. By default, this is set to ‘Unlimited’. Click on Unlimited to set a maximum number.
Involve:
Share this submission with another user, subdivision, or your organization. You can decide if the person you share the submission with can only view or edit the reports.

Learn how to review and manage your contract data and global settings for your organization account

General Data

  • Change Logo

    1. Click on the Change button under 'Logo Preview'.
    2. Select your logo.
    3. Click on Save changes.
  • Individual Plagiarism Portal

    Create an individual plagiarism portal for your organization. You can organize your document submissions within the portal.

    1. Enter your preferred URL ending into the textbox* in the 'Individual Plagiarism Portal' section.
    2. Click on Save changes.

    *Feel free to use an abbreviation of your organization. Just be aware of character limitations. 

  • PlagScan Banner

    You can place our banner on your website to receive a 5% discount! Just let us know the link of your website.

    1. Click on PlagScan Banner to open the proper dropdown menu.
    2. Open the Banner site in a new tab on your browser.
    3. Select the banner you want to display on your website.
    4. Copy the HTML code. This code is embeddable into your website.

    When that’s done, please tell us your website link to receive the 5% discount:

    1. Copy the URL of the website that displays our PlagScan banner
    2. Click the area next to URL.
    3. Paste the copied URL.
    4. Test if the URL works and if the banner is actually visible on your website.
    5. Click on Save changes.
  • Contract information

    Here you can see your current contract period, your PlagScan contract type or how much credit (PlagPoints) you have left. The information displayed here depends on your contract type and may vary.

Billing details

Here you can find information and how to set up anything related to billing.

  • Invoices

    If you have any outstanding or paid invoices, you will find them on this drop-down and can open them for viewing, downloading or printing. Outstanding invoices can be also paid directly through the dialog if your payment method of choice is PayPal / Credit Card. For other payment methods you will also find more information on the invoices themselves.

  • Billing address

    Here you can always change your contact information and enter the postal address, which has to be indicated on the invoices.

  • Billing dispatch

    Note that this sub-section will only be shown if you have an active contract with PlagScan. Here you have the option to select how you prefer to receive your invoices:

  • Change Logo

    1. Click on the Change button under 'Logo Preview'.
    2. Select your logo.
    3. Click on Save changes.
  • Individual Plagiarism Portal

    Create an individual plagiarism portal for your organization. You can organize your document submissions within the portal.

    1. Enter your preferred URL ending into the textbox* in the 'Individual Plagiarism Portal' section.
    2. Click on Save changes.

    *Feel free to use an abbreviation of your organization. Just be aware of character limitations. 

  • PlagScan Banner

    You can place our banner on your website to receive a 5% discount! Just let us know the link of your website.

    1. Click on PlagScan Banner to open the proper dropdown menu.
    2. Open the Banner site in a new tab on your browser.
    3. Select the banner you want to display on your website.
    4. Copy the HTML code. This code is embeddable into your website.

    When that’s done, please tell us your website link to receive the 5% discount:

    1. Copy the URL of the website that displays our PlagScan banner
    2. Click the area next to URL.
    3. Paste the copied URL.
    4. Test if the URL works and if the banner is actually visible on your website.
    5. Click on Save changes.
  • Contract information

    Here you can see your current contract period, your PlagScan contract type or how much credit (PlagPoints) you have left. The information displayed here depends on your contract type and may vary.

Here you can find information and how to set up anything related to billing.

  • Invoices

    If you have any outstanding or paid invoices, you will find them on this drop-down and can open them for viewing, downloading or printing. Outstanding invoices can be also paid directly through the dialog if your payment method of choice is PayPal / Credit Card. For other payment methods you will also find more information on the invoices themselves.

  • Billing address

    Here you can always change your contact information and enter the postal address, which has to be indicated on the invoices.

  • Billing dispatch

    Note that this sub-section will only be shown if you have an active contract with PlagScan. Here you have the option to select how you prefer to receive your invoices:

Users

  • Add user

    1. Click on Add Users.
    2. Check the box to use the user’s email address as username, if you wish to do so. This is enabled by default.*
    3. Complete the text fields regarding to your new user/s.
    4. Click Add User to confirm your request.

    * If you uncheck this box, you can enter individual usernames.

    An email with access information to the newly added user/s will be send to its E-mail by default, just uncheck the checkbox that states to do so if you don't want that.

  • Import User Data

    1. Click on Import User Data from File.
    2. Click on Select to upload a file with our user list*. We accept the following files: csv, xls, xlsx, ods.
    3. Click on Upload.
    4. Synchronize the rows Email, First Name, Last Name and E-Mail.
    5. If you want to ignore the first row of your table, just click the checkbox that indicates the first row is including titles. The remaining rows won’t be affected by the checkbox and will be treated normally during the data import.
    6. Click OK.
    7. Confirm the user data import by clicking Add Users.

    In your file, first and last name have to be in seperate columns.

  • Search User

    1. Enter the user’s name or email address in the top right textbox.
    2. Confirm the search by clicking the Search button.
    3. Click on Filter off if you want the complete table to be displayed again.
  • Delete User

    1. Click the checkbox next to the username you wish to be deleted.
    2. The checkmark indicates the selection of the user.
    3. Click Delete.

    If you want to delete multiple users, you can check multiple boxes at the same time and delete all of them simultaneously.

  • User List

    You can find all user data in the user list, including your own.

    Username:
    Lists the names of all users.
    Mode:
    You can decide whether a user has limited or unlimited PlagPoints.*
    PP Limit:
    Lists the amount of PlagPoints a user can spend.
    Used:
    The amount of PlagPoints a user has used up.
    E-Mail:
    Hover your cursor above the icon to see a user’s email address.
    Subdivision:
    Shows the user’s Subdivision.

    * If the mode is 'unlimited', this column doesn’t display anything.

    Click the column headers to sort by columns.

    You can set default settings that are mandatory for all users when added. You can learn more about the settings in our manual or video How to customize Settings for the Plagiarism Check.

  • User configuration

    If you click on the button configure user settings you can set a default organization configuration for your users and groups. The modifications of this configuration may influence the configuration of the groups and users in your organization. You decide which options are available to the groups or users in each setting. You can reset the changed options by clicking on the reset button.

    You provide the setting rights by giving them:

    1. The possibility to hide settings: the user cannot see them.
    2. The possibility to see some settings: the user cannot change them.
    3. The possibility to let the user edit the settings.
    4. The possibility to enforce options. Each setting has several options. If you want to enforce them, just check the box: Enforce. The settings will only be visible to users: they cannot change them. We will use the seeting Languages as an example to demonstrate how this works. First, you have the possibility to choose one of the following options: English, German, Spanish, French. When you enforce one of the languages, then the user will not be able to change them. The setting Languages will therefore only be visible to this user and will not be editable.
  • Set limited PlagPoint Usage

    1. Click on the module of a selected user.
    2. Select unlimited if the user should receive unlimited PlagPoint usage.
    3. Select limited if you want to limit the user’s PlagPoint usage. 
    4. Enter the PlagPoint limit in the column Limit.

    Your balance is indicated in PlagPoints. One Plagpoint is equivalent to 100 words.

  • Add Group

    1. Click on Group in the left menu.
    2. Click on Add Group.
    3. Enter a name for your group.
    4. Select a user to become admin of the group.*
    5. Confirm your selection.

    *PlagScan automatically suggests users from your user list.

  • Overview of Groups

    The list will provide you with an overview over all groups created for your organization.

    Group Name:
    Name of the Group.
    Group Admin:
    The administrator’s username or first and last name.
    Number of Users:
    The number of users designated to this subdivision.
    PP Used:
    The group’s amount of used PlagPoints. 
  • Edit Group

    1. Select the group you want to edit.
    2. Make your desired changes within the group’s name or administration. Only priorly created users can be chosen as admin of a group and only for one group. As administrator of the organization, you cannot be a group administrator.
    3. Change the settings allowed by the organization. However, this configuration is influenced by the options of the organizational level. The group-administrator can reset the changed options to the one of the organization level by clicking on the reset button.
    4. Confirm changes by clicking the blue button Change Group.
  • Delete group

    1. Select the group you want to delete.
    2. Press the red Delete button.
    3. Confirm the deletion.
  • Assign User to group

    As an administrator, you are able to assign users to subdivisions.

    1. Go to Users in the left menu.
    2. Select the users by clicking on their usernames or the checkbox left to those.
    3. Over the table, click in the select field (next to the Assign Group button), and choose a group.*
    4. Click on Assign Group next to the select field.

    * You can select any group you have previously created.

Access

You can switch a general notice on or off within your Plagiarism Portal.

    The general notice announces important information, such as legal regulations. This notice will be published on your PlagScan portal page and below each submission. You can either use the default text, or enter an individual text to declare specific regulations you want your users to know.

Highlights in the Report

PlagScan uses colored highlighting to illustrate potential plagiarism and citations. 

The highlighted passages are listed in cohesion to the Source List. 
For example, if you click on a red passage, you will notice that also the matching source will be highlighted.

There are three different colours for the sources:

Red

Exact matches with the sources.

Blue

Matches that might have been paraphrased. 

Green

Matches that PlagScan acknowledged as quotes. 

Edit Highlighting

Multiple ways enable you to edit highlighting within the report.

Remove Red Highlighting

If you disagree with the suggested red highlights, you can easily remove them:

  1. Select the red text passage. 
  2. Click on Remove marking in the blue top bar.
  3. Confirm your changes by clicking on Save changes.

The match remains listed in the source list but won’t influence the Plaglevel. 

Whether or not text has been plagiarized can only be decided by you or the person who is reviewing the report. PlagScan refers to the similarities between the document and the found sources. In case of doubt, a manual comparison is indispensable.

Define Highlights as Quotes

Follow these steps to identify a properly cited text passage:

  1. Select the passage.
  2. Click on Citation in the blue top bar.
  3. The selected text is now highlighted in green.
  4. Confirm your changes by clicking on Save changes.

Depending on your Settings (under ‘Advanced options' > Citation detection), green passages may not influence your Plaglevel.

Citation detection

Under Citation detection, you can select how PlagScan treats citations within the document. PlagScan can recognize direct quotes if quotation marks are properly used. 

No detection: Quotes will be treated like the rest of the text and therefore marked as potential plagiarism.

Highlighting only: Quotes will be highlighted in a different color and also marked as potential plagiarism. 

Reduce PlagLevel: Quotes will be highlighted in a different color and not be marked as potential plagiarism.

The PlagLevel indicates a percentage of potential plagiarism within your document.

Yellow PlagLevel: Your document includes a large amount of duplicated content.

Red PlagLevel: Your document includes a suspiciously high amount of similarities and should be examined further.

Whitelist

Use the Whitelist setting to exclude selected contents from the plagiarism check. Those can be, for example, websites, idioms, phrases or legislative texts. 

Whitelist - URLs: Enter the specific URLs of websites you don’t want to include in the plagiarism check

Whitelist - URLs +: Enter the websites you want to exclude, which will also exclude other websites with the same content. 

Whitelist - Phrases: Enter phrases you want to exclude from the plagiarism check. This also applies to idioms, legislative texts or specific working.
